Restoring Archived Content

Beginning May 22nd, 2023, Yale will be implementing an archival policy for media contained in Canvas Media Library (Panopto) folders. This policy will put any material not viewed in the last 3 years into an archived state.

No material will be deleted. Any necessary material can be accessed and brought back from the archives as needed following the steps outlined below.

Bringing material back from the archive can take up to 48 hours to process. If you have any questions please contact [email protected].

Locating Archived Materials

Archived Media Library content will stay associated with its pre-archived location. When in a Media Library folder that contains archived material, you will see icons indicating:

  1. How many items are in a viewable state.
  2. How many items are in an archived state.

Selecting each icon will display the media items in each state within the folder.

When searching for materials within a Media Library folder you will see both live material and archived materials in the search results. Items that are archived will be identifiable by a grayed out thumbnail with the archive icon. 

Restore Archived Content from a Folder

Whether searching within a folder or selecting the archived material view, content can be brought back from the archive by moving your cursor over the desired content and selecting the "Restore from Archive" button.

Restore Archived Content from the Viewer

When accessing a media item that has been archived through a link to the media viewer, you will see a notification that the media has been archived as well as a button that can be used to restore the session from the archive.

Anyone with viewing permissions is able to request a video be brought back from the archives.

Restore Archived Material from an Embed

When viewing archived material that has been embedded in a page, you will see text over the session indicating the video has been archived as well as the option to restore the session from the archive.

View all Archived Material

You can view all of your owned content that has been archived by logging in to the Media Library website and then:

  1. Selecting "System" in the lower left corner
  2. Then selecting "Archive" from the menu.
  1. You will then see a list of all archived materials that you own and the ability to bring it back from the archive by hovering over the item and selecting the "Restore from Archive" button.

Email Notifications

By default, when an archived video is restored, its Creator will receive an email notification. The email will include a link to the restored video and information on who restored the video.
